With more than 4.2 million HERS® rated homes nationwide (and counting!), we are currently seeking an Executive Administrative Assistant to provide administrative support to the Executive Director, Deputy Director, and other leaders in the organization who implement and grow RESNET’s cutting-edge programs for energy and water efficiency, carbon, and energy codes. This fully remote full-time position will play an important role on our small, dedicated team, helping to serve a large network of home energy rating professionals, builders, and government and industry stakeholders. Responsibilities • Responsibilities for the incumbent in this position include but are not limited to: • Coordinate scheduling and calendar management and manage the content and flow of information to executives. • Manage and coordinate executives’ travel and travel-related activities (including flights, rental cars, hotels, etc.), including expense reports. • Respond to, track, and coordinate requests from internal staff and industry stakeholders (inquiries, due diligence meetings, etc.) • Organize staff and business meetings for senior management. • For select projects and processes, prepare and assemble data, develop initial drafts of documents or presentations, and assist with delivery and finalization as needed. • Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld. • Continually identify opportunities to increase leaders’ bandwidth and productivity by proactively “taking things off their plate” and helping them drive projects to completion. This can include reading, researching, collecting, and analyzing information as needed in advance. • Ensure that leaders are prepared for all engagements by preparing and providing complete briefing materials, agendas, and travel itineraries. • Communicate changes on a timely basis to various constituents. • Perform administrative tasks, including but not limited to drafting letters and memos, preparing invoices, preparing reports, and creating or reviewing other documents for senior staff. • Perform other duties as needed, such as assisting with organization-wide initiatives and employee events. Required Skills and Qualifications • High level of perception with the ability to read the room and adjust as needed. • Expert proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and high aptitude for learning new software and systems. • Minimum of 10 years experience in an administrative role directly supporting and reporting to senior management. • Bachelor’s degree or equivalent combination of education and experience. • Previous experience in project/program management. • Ability to effectively identify priorities and manage multiple priorities. • Demonstrated track record of engaging and influencing stakeholders to obtain results consistent with the mission of the organization. • Demonstrated track record of working both independently and in a team environment. • Strong cross-functional collaboration and consensus-building skills. • Experience developing presentations for live and virtual environments. • Strong vocabulary, editing, and proofreading skills. • Ability to maintain confidentiality and handle sensitive issues with diplomacy, tact, and empathy. • Excellent organizational, project planning, and follow-through skills. • Strong listening and written and verbal communication skills, with the ability to express ideas clearly and respectfully. • Attention to detail and analytical problem-solving skills. • Experience working from home or in a fully remote work environment. • Ability to travel approximately 4-5 times per year.
